In auto repair shops, periodic maintenance workshops, tire dealers, inspection centers, and detailing businesses, the busiest bottleneck is often not the lift but the service desk phone. During seasonal tire change weeks and before long holiday trips, the phone never stops: drivers call to book, while customers who dropped off their car in the morning ask "Is my car ready, can I pick it up today?"
Every time a service advisor leaves what they are doing to go down to the shop floor for a status question, a queue forms at the desk and productivity drops. Yanitly's auto service workspace combines vehicle records, the work order board, and the customer support automation that runs on the phone and WhatsApp, so customers get the real status from the workshop without guesswork.
The most important factor in auto service satisfaction is sharing, transparently and without extra phone traffic, which stage the vehicle is in from intake to delivery.
Why Communication Jams at Repair Shops and Tire Dealers
There are several steps between a vehicle arriving and being handed back. A customer who drops off their car in the morning usually calls once or twice during the day to ask for an update. At the same time, new customers call to ask for times for maintenance, brake pads, wheel alignment, or tire changes. This load causes four problems:
- Lift and station clashes: With bookings written in a paper diary, the capacity of the maintenance lift and the tire station gets mixed up, and too many cars are accepted for the same time.
- Constant "What's the status of my car?" calls: Because the work order status is not updated digitally, the advisor has to ask the technician on every call.
- Lost vehicle history: At what mileage the car came in last time, or which work was done, gets lost among messages.
- Unconfirmed time and price promises: Estimated pick-up times and unconfirmed part prices given on the phone during busy hours turn into disputes at handover.
Vehicle Records: A Memory That Starts with the Plate
General-purpose booking software keeps only a person's name and phone number, but in automotive work the real unit of work is the vehicle. A customer may own several vehicles, or a company car may be brought in by different drivers.
What a Vehicle Card Holds
On the Vehicles screen, each vehicle is a separate card linked to the customer record. The card holds the license plate, make and model, model year, color, mileage at the last service, and notes. When a customer gives a plate, the assistant finds the vehicle in these records; if it is not registered, it collects the make, model, and mileage and creates a new record. On the next visit, the advisor does not have to ask for the history again.
The Work Order Board and Its Stages
To move a vehicle's journey through the workshop off paper forms, Yanitly provides a work order board. The advisor or technician moves the work order card across columns as the work progresses:
- 1.Intake: The vehicle has been received; mileage and the customer's complaint are recorded.
- 2.Diagnosis: The vehicle is being checked and the work needed is being decided.
- 3.In repair: The vehicle is on the lift or at a station; maintenance, repair, or tire work is under way.
- 4.Ready: The work and final checks are done; the vehicle is ready for handover.
- 5.On the way: An intermediate stage for jobs sent out by delivery or courier.
- 6.Delivered: The vehicle has been handed back to its owner.
If a card is moved forward by mistake, it can be moved back to the previous column, so the board always reflects the real state of the workshop.
From Booking to Work Order
When the assistant takes a service booking, the booking goes into the calendar and a card opens on the work order board at the same time. The card shows the plate, vehicle, mileage, and type of service. When the advisor opens the workshop in the morning, they see the day's vehicles and jobs on a single screen.
A Verified Answer to "Is My Car Ready?"
Yanitly's phone and WhatsApp assistant works as both the shop's booking secretary and its status desk. When a customer asks "Is the service on my car with plate 34 ABC 123 finished?", the assistant reads the real stage from the work order and passes it on. If it cannot find a matching work order, it does not guess; it passes the question to the team.
No Time or Price Promises
The assistant is designed not to make up a pick-up time or part price on its own. It can share the standard package prices you define in the knowledge base; when extra work, part approval, or an inspection finding is involved, it directs the customer to the service advisor or passes the price request to the team. Everything the customer hears is based on the real state of the workshop.
Station and Capacity Planning
Automotive services need different durations and equipment. An inspection booking may be short, while full detailing or a coating job may keep a car in the shop for a day. In Yanitly, each service is defined with its own duration and the number of vehicles that can be accepted at the same time.
Capacity During Tire Change Season
For short but frequent jobs such as seasonal tire changes, you set how many vehicles can be taken at the same time. When capacity is full, the assistant does not book another car into that slot; it offers the customer the nearest available times. Heavy mechanical work is placed in longer calendar slots.
Notes for Inspection and Detailing Centers
At inspection centers, the buyer and the seller often need to arrive at the same time; at detailing and coating studios, a car may stay inside for a day or longer. For these businesses, realistic service durations determine how accurate the calendar is. When taking a booking, the assistant asks for the plate, make and model, and the requested service, so the team can prepare before the car arrives. When you write pre-appointment preparation notes on the service card, such as the fuel level or documents to bring, the assistant shares them when the customer asks.
Reminders, Handover, and Checkout
When a booking is created, the customer can receive a confirmation and a pre-appointment reminder on WhatsApp. For customers who have not been in for a long time, maintenance reminder rules are set up on the Recall screen. When the vehicle moves to Ready, the advisor lets the customer know, and the work done is already recorded on the vehicle card at handover.
At the cash desk no payment method is preselected; staff explicitly choose the actual payment method. A payment entered by mistake is not deleted but reversed through a recorded correction. We explain how the assistant's price disclosure limits are protected in our article on the knowledge base quality report and assistant rules.
