Beauty centers, nail studios, hair salons, and spa and massage centers look like simple booking businesses from the outside, but behind the scenes they run delicate work: session credits, staff commissions, room and device schedules, and cash reconciliation. When a client writes on Instagram DM or WhatsApp, "Do you have a slot tomorrow afternoon for gel removal and gel strengthening?", the system has to turn that phrase into the right service and duration, and when the client leaves, it has to record the remaining package credit and the specialist's commission correctly.
Yanitly's beauty salon booking system combines the booking assistant, Packages / Sessions tracking, checkout and end-of-day screens, and staff commission records in one flow.
What protects profitability in a beauty studio is not just filling the calendar; it is recording every session credit used, every payment taken, and every specialist's commission and tip clearly enough to leave no room for dispute.
Why Operations Get Complicated in Beauty, Nail, and Spa Studios
Unlike single-service appointments, clients in this sector often buy six- or eight-session packages, pay in installments, and may want a different specialist or a combined treatment each visit. The most common problems at reception and checkout are:
- Session credits lost on paper: Searching a notebook for "Which session am I on?" wastes time and erodes the client's trust.
- End-of-month commission disputes: If who performed which service and who a tip at the desk belongs to is not recorded at the time, the month ends with hours of calculations.
- Wrong duration, wrong specialist: If a request written in everyday words, such as "acrylic fill and nail art", is booked with a standard manicure duration, the rest of the day runs late.
- Payment method mistakes at closing: During busy checkout hours, a preselected payment method mixes up cash and card totals.
The Today Screen and Staff Calendars
The Today screen brings the day's appointments, arriving clients, and transactions waiting to be closed at checkout into one place for reception and the salon manager. Each specialist has their own calendar, and appointments are placed according to the specialist, the service duration, and, where needed, a room or device.
Preventing Room and Device Clashes
Many booking clashes happen because only the specialist's free time is checked and a busy device or treatment room is forgotten. Two estheticians may be free at the same time, but if the studio has one skincare device, two appointments must not open in the same slot. When you link a service to a resource, the calendar considers specialist and resource availability together.
Packages / Sessions Tracking
For multi-session sales such as laser, body treatments, facials, or massage courses, the Packages / Sessions section works at the center of the client card:
- 1.Package setup and sale: The total number of sessions and the scope of the package are defined, and the sale is recorded on the client.
- 2.Linking to appointments: When the client books a new appointment, the active package is visible and the appointment is linked to it.
- 3.Session deduction: When the treatment is completed, the session used is deducted, and the remaining credit is updated on the client card and in the Customer 360 Priority Jobs list.
- 4.Recorded corrections: A session deducted by mistake is not deleted; it is reversed through an authorized, recorded correction.
"How Many Sessions Do I Have Left?"
When a client asks on WhatsApp how many sessions remain, the assistant reads the actual remaining credit from the package and replies without guessing. Reception no longer has to pick up the phone for this question.
Checkout, Payment Method, and Tips
When the client comes to the desk after the treatment, checkout is more than ticking "paid". No payment method is ever preselected at checkout; staff explicitly choose cash, card, or bank transfer. If the client leaves a tip, it is recorded against the staff member who provided the service. The End of Day screen then brings the day's payments together by method.
The Staff Commission Report
The Staff Commission screen shows each specialist's services and earned commission together. Because services and tips are linked to the right person at checkout, the end-of-month calculation becomes reading a report instead of an argument.
From Everyday Words to the Right Service
Clients on Instagram DM, WhatsApp, or the phone do not use the official names on the salon's price list. Phrases such as "gel strengthening", "gel polish removal", "lash lift", or "deep tissue massage" are mapped to the right service in your catalog by the service matching layer.
Unmatched Phrases and Aliases
Phrases the assistant cannot match are collected in a panel list that contains no personal data. When you add them to the right service as aliases, the next conversation picks the right service, the right duration, and a specialist who can perform it. Panel copy is written for your sector too, so a nail studio's screen never shows terms from another industry.
Gift Vouchers and Add-On Services
Gift vouchers are an important source of revenue for beauty and spa businesses, especially around special occasions. In the Gift Vouchers section you create vouchers and track their use; when a client asks about a voucher code, the assistant can check whether it is valid. During booking, the assistant can also suggest add-on services defined in your catalog, such as a hand treatment alongside a manicure or a facial alongside a massage. Suggestions come only from services that really exist in your catalog, and prices are shared according to each service card's price visibility setting.
How End-of-Day Reconciliation Gets Easier
For a salon manager, the most tiring part of closing is matching how many clients used package sessions that day, how many new packages were sold, how much commission each specialist earned, and the cash and card totals at the desk. Because every transaction is linked to the right record as it happens, the end-of-day count gets shorter:
- Package session deductions are followed from the Packages / Sessions balance on the client card.
- Because staff choose the method of every payment explicitly, the payment terminal report can be compared with the system record.
- A payment or session entered by mistake is fixed through a recorded, authorized correction rather than being deleted.
Reminders, Reviews, and Recall
After an appointment is created, the client receives a confirmation and a pre-appointment reminder on WhatsApp. When the client wants a different time, the assistant offers suitable slots within your cancellation and rescheduling rules. Post-visit review requests are collected in the Reviews section, and Recall rules can be set up for clients who have not visited in a long time.
